Job Description

Supports UN Headquarters mail and pouch operations by receiving, screening, sorting and delivering official correspondence. The assistant tracks incoming and outgoing items, applies postal and pouch rules, coordinates with couriers and security staff, and maintains operational data. The role ensures secure, prompt and cost-effective distribution services for UN offices, agencies and missions.

Summary of Responsibilities

  • X-ray incoming mail and pouches with security staff
  • Maintain logs and record mail categories and quantities
  • Receive mail from couriers, government and foreign missions
  • Sort, process and verify incoming and outgoing official mail
  • Inspect parcels for compliance with pouch rules
  • Track pouch and mail distribution and postage charges
  • Liaise with postal and courier services and respond to service inquiries
  • Use shipping and tracking systems and train new staff

Role Requirements

  • High school diploma or equivalent
  • At least 5 years of experience in processing mail, pouch or registry operations; 3 years with a first-level degree or higher
  • Fluency in English
  • Authorisation to work for the United Nations in the duty station

Desired Criteria

  • Experience with safety and security procedures for mail and pouch handling
  • Experience using mail shipping and tracking systems
  • Experience collecting statistical data and training junior colleagues
