Job Description

IOM Venezuela seeks a Senior Executive Assistant to manage and monitor the Chief of Mission's office function. The role handles confidential correspondence, travel, briefings, meetings and protocol arrangements; maintains partner records; supports mission visits and events; and provides procedural, administrative and protocol guidance while coordinating with internal and external stakeholders.

Summary of Responsibilities

  • Manage confidential correspondence and documentation for the Chief of Mission
  • Provide procedural and administrative guidance for office operations
  • Coordinate travel itineraries, clearances, visas, claims and logistics
  • Prepare briefing notes and background documents for meetings and official travel
  • Organise meetings and follow up on action points
  • Maintain records of senior-level partner engagements
  • Manage the Chief of Mission's calendar, appointments and visits
  • Coordinate protocol arrangements and mission events
  • Supervise office support staff and improve administrative workflows

Role Requirements

  • High school diploma with seven years of relevant experience or a bachelor's degree in international relations, business administration, public relations or a related field with five years of relevant experience
  • High-level interpersonal communication and negotiation skills
  • Ability to write clearly and effectively for the intended audience
  • Ability to work effectively with colleagues from varied cultures and professional backgrounds
  • Fluency in English and Spanish

Desired Criteria

  • Courses on etiquette and protocol
  • Prior work experience with international humanitarian organizations, non-government or government institutions in a multicultural setting
