Job Description

Ensures the Resident Coordinator’s front office in Colombo operates smoothly and on schedule. The post manages executive calendars, protocol, correspondence, travel and meeting support while coordinating information flow and deadlines. It also supports office administration, high-level events, data presentations and liaison with UN entities, diplomatic partners and Sri Lankan authorities.

Summary of Responsibilities

  • Maintain the Resident Coordinator’s calendar, appointments and representation schedule
  • Prepare briefing materials and coordinate correspondence for executive action
  • Draft letters, memorandums, notes verbales and meeting minutes
  • Manage travel requests, bookings, logistics information and travel claims
  • Coordinate protocol matters and liaison with the Ministry of Foreign Affairs
  • Maintain confidential filing systems and screen incoming correspondence
  • Support high-level events, coordination meetings and incoming missions

Role Requirements

  • High school diploma or equivalent
  • At least seven years of experience in administrative support, coordination, logistics or front-office functions, reduced by two years with a first-level university degree
  • English proficiency
  • Authorisation to work for the United Nations in the Colombo duty station

Desired Criteria

  • Bachelor’s or advanced degree in business administration, office management, communication or a related field
  • Experience supporting senior officials or executive offices
  • Experience organising high-level meetings, missions or events
  • Experience with the UN, an international organisation, diplomatic mission or government institution
  • Experience in data analytics
