Job Description

Provides senior administrative and operational support to WIPO executive leadership, coordinating priorities, meetings, communications, travel, stakeholder relations and office workflows. The roster builds a pipeline for roles that enable sound decisions and effective delivery of organisational priorities.

Summary of Responsibilities

  • Coordinate executive priorities, commitments and daily office operations
  • Manage complex calendars, meetings, logistics, documentation and action follow-up
  • Prepare and review correspondence, reports, briefings and presentations
  • Liaise with internal and external stakeholders, diplomatic missions and international organisations
  • Coordinate executive travel, missions, visits and events with the Travel Unit
  • Support budgetary, procurement, workforce and administrative transactions and reporting
  • Maintain records and information repositories while protecting sensitive information
  • Improve office processes and share administrative guidance

Role Requirements

  • Completion of secondary education
  • At least eight years of progressively responsible administrative, secretarial or executive-support experience
  • Substantial experience supporting senior managers or executives in an international or multicultural environment
  • Excellent knowledge of English or French and working knowledge of the other language
  • Advanced organisational, planning, drafting and communication skills
  • Ability to manage complex priorities and competing deadlines
  • Proficiency with digital workplace, collaboration and AI-enabled productivity tools
  • Ability to exercise sound judgement and handle sensitive information discreetly

  • The roster will be used for limited-term fixed-term appointments over the next two years
  • Initial appointment is for two years and may be renewed within a five-year cumulative maximum
  • General Service posts are generally locally recruited, with a limited international package potentially available
