Job Description

Manages the Executive Director’s official correspondence and protocol support within UNFPA’s Strategic Leadership Communications Unit. The analyst drafts and edits bilingual diplomatic communications, controls correspondence workflows and records, supports high-level visits and events, and maintains accurate institutional memory, templates and contact information for executive engagement.

Summary of Responsibilities

  • Draft correspondence for the Executive Director’s signature
  • Edit official communications for accuracy, clarity, tone and adherence to UN editorial standards
  • Verify titles, forms of address and diplomatic protocol elements
  • Manage registration, prioritisation and routing of incoming correspondence
  • Coordinate draft replies, internal clearance, signature and dispatch
  • Monitor response deadlines and maintain correspondence tracking
  • Support preparation of high-level visits, events and ceremonies
  • Maintain correspondence files, templates, contact records and archives

Role Requirements

  • Advanced degree in international relations, political science, languages, translation, communications, law, public administration or a relevant field
  • At least one year of relevant experience in correspondence management, editing, protocol, diplomacy, external relations or executive-office support
  • Fluency in English and French

Desired Criteria

  • Experience with correspondence tracking, document-management or records-management systems
  • Exposure to the UN system or an international, governmental or diplomatic environment
  • Knowledge of another official UN language
