Job Description

Ensures the Resident Coordinator Front Office in Djibouti operates efficiently and confidentially. The Executive Assistant manages the Coordinator’s schedule, briefings, travel, correspondence and information flow; supports events and UN coordination meetings; tracks commitments and reports; and provides administrative, finance and data-support services across the Resident Coordinator Office.

Summary of Responsibilities

  • Manage the Resident Coordinator calendar, appointments, meetings and representation schedule
  • Coordinate briefing materials, correspondence and documents for the Resident Coordinator
  • Draft official correspondence, notes to file, minutes and Note Verbales
  • Manage travel, mission logistics, travel requests and claims
  • Maintain high-level partner, UN agency and diplomatic contact lists
  • Maintain confidential files and screen calls and correspondence
  • Support UN coordination meetings, official events and deadline follow-up
  • Provide administrative support on contracts, budgets, finance and human resources

Role Requirements

  • High school diploma or equivalent
  • Minimum 7 years of executive, administrative, coordination or operational support experience, reduced to 5 years with a first-level degree
  • Relevant experience within the UN system, government, international organizations, academic or research institutions, or comparable settings
  • Demonstrated experience coordinating schedules, briefing materials, information flows and leadership decision-making
  • English and French proficiency
  • Authorization to work for the United Nations in the duty station
