Administrative Assistant/Protocol

This National UN Specialist volunteer supports UNFPA Sudan's operations through protocol services, guesthouse administration, finance and procurement processes, and vehicle operations. The assignment coordinates permits and staff documentation, processes payments and requests, and keeps premises, transport and administrative support services functioning in Port Sudan.

• Process entry visas, work and stay permits, registrations and travel permits for staff and visitors
• Issue and renew diplomatic cards, driving licences and VIP bookings for eligible personnel
• Obtain government permits and licences and coordinate with local authorities and the Humanitarian Aid Commission
• Manage UNFPA guesthouse bookings, billing, housekeeping, furnishing and monthly reporting
• Process payments for premises services, maintenance, utilities and office supplies
• Prepare payment requests, requisitions, purchase orders, overtime records and filing documentation
• Coordinate staff transport, vehicle maintenance, safety equipment, registrations, logs, fuel tracking and leasing payments

• Relevant administrative, procurement, protocol or logistics experience, preferably with UN or other international organizations
• Experience using computers and office software packages including Microsoft Word and Excel
• Experience handling web-based management systems
• Arabic and English
