Job Description
The ITC Administrative Assistant supports the Africa Regional Director for EAC in Nairobi with office administration, human resources, budgets and contracts. The role manages schedules, correspondence, travel and records; coordinates meetings and events; maintains HR and staffing data; monitors expenditure through UMOJA; prepares finance reports; and processes invoices and access permissions.

Summary of Responsibilities
- Provide office-management and administrative support to the ITC Africa Regional Director responsible for EAC
- Maintain liaison with regional-office and other-unit teams and monitor schedules for office outputs and tasks
- Prepare correspondence, background materials, data presentations, reports, meeting minutes and follow-up actions
- Manage calendars, staff travel arrangements, records and administrative systems for the regional office
- Process and monitor human-resources actions, time and attendance, performance records, entitlements and staffing tables
- Monitor expenditure and allotments through UMOJA, support budget reviews and prepare standard financial reports
- Administer contracts, audit contractor invoices, process payments and prepare official permissions and access forms
Role Requirements
- High school diploma or equivalent
- Five years of experience in administrative services, finance, accounting, audit, human resources or a related area, reduced to three years with a university degree
- English at UN Level III in reading, writing, listening and speaking
- Open only to Kenyan nationals currently residing near Nairobi
- Applicants must be authorized to work for the United Nations in the duty station
Desired Criteria
- Qualification in administration, finance or accounting
- Three years supporting senior leadership
- Two years of programme or project administration or technical cooperation
- One year or more of data analytics experience
- Experience using an ERP system
- Experience in a regional or international organization
- Experience supporting events, meetings and stakeholder engagements
- Experience drafting corporate documents
