Job Description

Supports the Office of the Executive Director’s financial, administrative and logistical operations. The associate manages Quantum workplans and transactions, coordinates senior calendars, meetings and travel, maintains leave and personnel records, and serves as a finance and administration focal point while ensuring reliable documentation, protocol and follow-up on Executive Office commitments.

Summary of Responsibilities

  • Enter, update and submit Executive Office workplans in Quantum and advise staff on transactional use and financial rules
  • Process requisitions, payment requests, expense claims and correcting entries and maintain supporting documentation
  • Complete year-end closure actions, clear open commitments and reconcile outstanding items
  • Manage the Chief of Staff’s calendar, senior meetings and briefing preparation
  • Process purchase requisitions, goods and services receipts, recruitment documentation and travel transactions
  • Maintain office supplies, asset-verification records and office-space arrangements
  • Reconcile leave records and maintain personnel files for consultants, interns and incoming staff
  • Serve as the Executive Office focal point for finance and administration queries and track Executive Committee decisions

Role Requirements

  • Completed secondary-level education
  • Six years of relevant experience in administration, finance or office management
  • Proficiency in current office software, web-based management systems and ERP financial systems
  • Fluency in English
  • Valid G-4 visa acquired through UN-system employment, United States citizenship or United States permanent residency

Desired Criteria

  • First-level university degree in Finance, Business, Public Administration or a similar discipline
  • Knowledge of another UN language
