Job Description

Supports ESCAP’s Conference Management Unit in delivering committees and conferences at the UN Conference Centre Bangkok. The role plans daily programmes and meeting services, maintains speakers and attendance records, prepares procedural materials and cost estimates, coordinates on-site, virtual and hybrid events, and provides conference administration and guidance to temporary staff.

Summary of Responsibilities

  • Produce and distribute daily and weekly programmes for assigned committees and meetings
  • Notify offices and participants of programme changes and ensure scheduled meeting services are available
  • Prepare agenda annotations, participant lists and daily materials for conference proceedings
  • Maintain speaker and attendance records and coordinate with delegations and verbatim reporters
  • Arrange seating plans, voting support, room reservations and teleconference activities
  • Coordinate on-site, virtual and hybrid UNCC meeting arrangements and update technical guides
  • Prepare cost estimates and expenditure statements for conference services

Role Requirements

  • High school diploma or equivalent; a first-level university degree may be accepted in lieu of two years of required experience
  • At least five years of progressively responsible experience in conference support services, administrative services or a related area, or three years with a first-level university degree
  • Experience using MS Office to prepare conference data, reports and information materials
  • Experience using virtual meeting platforms such as MS Teams, Zoom and other management platforms
  • English is required
  • Applicants must be authorized to work for the United Nations in the duty station country and be locally available upon appointment

Desired Criteria

  • Experience planning and organizing intergovernmental meetings
  • Experience supporting entities and external clients on a cost-recovery basis
  • Experience in the UN Common System or similar international organizations
