Job Description

Provides administrative and project-support services for IOM’s programme work in Quibdó, Colombia. The assistant will process procurement, payment, travel and contracting documentation, monitor workflows and budgets, maintain records and databases, guide contractors on submissions, and support reporting, meetings, correspondence and compliance with IOM procedures.

Summary of Responsibilities

  • Provide administrative support for programme and project activities nationwide
  • Prepare and process contracting, procurement, transport, travel, per-diem, payment and contract documentation
  • Coordinate with support units to follow up on pending processes
  • Compile and consolidate periodic and final reports
  • Guide contractors and entities on compliant payment requests, certificates and reports
  • Verify services and ensure project budget execution has required legal documentation
  • Maintain current project files, records, controls, databases and inventories
  • Support presentations, meetings, events, correspondence and internal committee participation

Role Requirements

  • High school completion with 3 years of relevant experience or a university degree in business administration or a related field with 1 year of relevant professional experience
  • Experience with IOM administrative processes
  • Experience with ERP systems including SAP, PRIMA and Wave
  • Strong general computer knowledge and proficiency in MS Excel
  • Fluency in written and spoken Spanish

Desired Criteria

  • Experience supporting projects with tight deadlines and working under pressure
  • Experience with international humanitarian organisations, government or non-government institutions in a multicultural setting
  • Basic written and spoken English at A1 level
