Job Description

Deliver compliant, cost-effective workplace and common-premises services for UNDP's Istanbul Regional Hub. The analyst will manage facilities, vendors, budgets, fleet, assets and administrative records; coordinate participating UN agencies and host-country counterparts; and improve office operations, safety and staff experience through service planning, monitoring and process improvement.

Summary of Responsibilities

  • Ensure administrative activities comply with UN and UNDP rules, policies and procedures
  • Manage common-premises services, office space, maintenance, utilities and cost-recovery arrangements
  • Coordinate vendors, service contracts, invoices, payments and procurement for Hub needs
  • Maintain assets, inventory, administrative records, archives and financial-control documentation
  • Manage fleet operations, driver supervision, vehicle maintenance, insurance and utilisation reporting
  • Coordinate onboarding, accreditation, residence permits and host-country documentation
  • Lead common-premises governance, inter-agency coordination, workplace optimisation and emergency procedures

Role Requirements

  • Advanced degree in business or public administration, management, law, social sciences, finance or a similar field, or a bachelor's degree in these areas with two additional years of qualifying experience
  • Applicants with a bachelor's degree require at least 2 years of relevant national or international experience in administration or programme-support services
  • Fluency in English and Turkish

Desired Criteria

  • Advanced knowledge of spreadsheet and database packages
  • Experience with web-based management systems and ERP platforms, preferably UNDP Quantum
  • Experience working with UN agencies or international organizations
  • Experience in office-space management
  • Experience with protocol, staff registration and coordination with local authorities
  • Experience coordinating shipments, customs clearance, insurance and procurement of office supplies

Additional Information

  • Supervises and leads personnel in the administration unit
  • Employment beyond the initial 12 months of a qualifying UNDP fixed-term appointment is contingent on successful probation
