Job Description

The Office Associate leads office-support functions for FAO in Khartoum. The role coordinates correspondence, information flow, meetings, schedules and administrative transactions, while guiding support staff and maintaining procedural standards. It requires locally eligible candidates with five years of relevant experience, English and Arabic proficiency, and strong MS Office capability.

Summary of Responsibilities

  • Manage complex and confidential correspondence and documentation
  • Provide procedural information and guidance to staff
  • Arrange appointments, duty travel and the supervisor's calendar
  • Organise high-level meetings, agendas, documentation and minutes
  • Coordinate office support staff and divisional deadlines
  • Maintain tracking systems and monitor document workflows
  • Initiate transactions in corporate administrative systems

Role Requirements

  • Secondary school education
  • Five years of relevant management and office support experience
  • Working knowledge of English and Arabic
  • National of Sudan or holder of a valid right to work and resident within commuting distance of Khartoum

Desired Criteria

  • Experience in a United Nations agency, international organisation or multicultural environment
  • Experience supporting senior managers or heads of office
  • Experience coordinating meetings, official events, missions and high-level visits
  • Knowledge of FAO rules, administrative procedures and corporate systems
  • Ability to prioritise multiple tasks and meet tight deadlines
