Job Description

Coordinates office, management-support and administrative services for FAO's Regional Office for Asia and the Pacific. The assignment manages executive schedules and correspondence, organises meetings and documentation, administers office processes and staffing actions, compiles information for reports, and supervises support staff to maintain efficient workflows.

Summary of Responsibilities

  • Manage appointment requests, calendars, schedules, visitors and sensitive correspondence
  • Coordinate office support for meetings, training, seminars, committees and special projects
  • Prepare meeting minutes and follow up on outstanding actions
  • Process incoming correspondence, draft responses and quality-control outgoing documents
  • Administer contracts, temporary staffing requests, leave records and budget follow-up
  • Compile background information and generate reports from databases
  • Coordinate support staff, set priorities and train new colleagues
  • Maintain filing systems, signature records and office websites

Role Requirements

  • Secondary School Education
  • Four years of relevant experience in office or management support work
  • Working knowledge of English at proficiency level C
  • Very good knowledge of MS Office applications, Internet and office technology equipment
  • Nationals of the duty-station country or holders of a valid work visa or permit who live within commuting distance

Desired Criteria

  • Knowledge of corporate rules, policies, processes and workflows
  • Experience with the UN system
  • Ability to work with senior managers and diverse teams under pressure
  • Awareness of confidentiality and sensitivity
