Job Description

The Administrative Associate will ensure UNICEF Sri Lanka's office runs efficiently by coordinating administrative management and specialized support. Reporting to the Operations Manager, the role will manage workflows, procurement, travel, invoices, budgets and supplies; support common-premises arrangements and emergency preparedness; and guide drivers to provide safe, timely transport services.

Summary of Responsibilities

  • Provide administrative management support and coordinate administrative and specialized tasks
  • Support planning and project-management activities
  • Coordinate procurement, communications workflows, calendars, meetings and correspondence
  • Organize events, logistics, travel and visa support
  • Process invoices and monitor budgets
  • Manage supplies and equipment and support attendance administration
  • Maintain office safety, security and emergency-preparedness arrangements with the Operations Manager
  • Coordinate common-premises support and guide drivers to provide safe, efficient transportation services

Role Requirements

  • Completion of secondary education
  • At least 6 years of progressively responsible administrative or clerical work experience
  • Fluency in English
  • Open to Sri Lankan nationals only

Desired Criteria

  • Professional or university courses related to the field of work
  • Previous experience delivering support services in administration, finance, IT or supply
  • Knowledge of UN or UNICEF rules, regulations and procedures
  • Experience with corporate enterprise resource planning systems, particularly SAP
  • Experience in development, humanitarian and fragile settings
