Job Description
The Project Assistant supports IOM Indonesia’s Immigration and Border Governance portfolio in Jakarta by organizing trainings, meetings, workshops and community engagement. The role coordinates administration, updates monitoring tools, compiles project data, prepares reports and correspondence, translates materials, and develops visibility content with programme and communications colleagues.

Summary of Responsibilities
- Provide clerical assistance and organize project trainings, meetings, workshops and community-engagement activities
- Take notes, report on meetings and activities, and translate project and communication materials between Indonesian and English
- Coordinate administrative requests, clearances, processing and follow-up with organizational units and external parties
- Update project monitoring tools and supporting documentation under the Senior Project Associate’s guidance
- Retrieve, compile, summarize and present project information and data for reporting and external communications
- Draft status reports, correspondence, briefing notes, graphics, statistical tables and presentations
- Draft and design visibility products and other publication materials
- Develop social-media content, success stories, newsletters, web articles and other project publications with the project team and communications focal points
- Respond to information requests and maintain project files and records
Role Requirements
- A school diploma with three years of relevant experience, or a bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or a related field with one year of relevant professional experience, is required
- Experience liaising with government authorities, national or international institutions, UN agencies and NGOs is required
- Proficiency in Microsoft Office tools including Word, Excel, Outlook, PowerPoint and SharePoint is required
- Fluency in written and spoken English and Indonesian is required
Desired Criteria
- Indonesian nationality with knowledge of migration and border-management issues in Indonesia is an advantage
- Experience developing social-media content, publications and other drafted materials is an advantage
- Ability to use design software such as Photoshop or Canva is an advantage
