Job Description

IFRC seeks a Purchasing Assistant in Caracas to support procurement of goods and services for its Venezuela delegation. The post manages purchase requests and quotations, supplier follow-up, comparative analyses, orders, deliveries and procurement records, helping programs meet IFRC policy, compliance, traceability and anti-fraud requirements during an emergency response.

Summary of Responsibilities

  • Receive, review and follow up purchase requests for specifications, quantities, approvals and supporting documents
  • Manage quotation requests and supplier offers under IFRC procurement procedures and thresholds
  • Prepare comparative tables and procurement files for review and approval
  • Issue and follow up purchase orders and contracts with suppliers
  • Monitor procurement progress and deliveries, escalating risks, delays and incidents
  • Maintain current procurement and supplier records to ensure traceability of each process

Role Requirements

  • University or professional degree in administration, logistics or a related field
  • Minimum two years of professional experience in a procurement and logistics department
  • Knowledge of computer systems including accounting software and Microsoft Office
  • Ability to manage multiple processes simultaneously and meet deadlines
  • Strong analytical, organizational, document-management and communication skills

Desired Criteria

  • Humanitarian field experience is preferred
  • Experience preparing comparative tables and procurement documentation is preferred
  • Experience with compliance- and audit-based procurement procedures is preferred
  • Knowledge of IFRC humanitarian context and ERP or procurement-management platforms is preferred
