Responsibilities

  • Perform office management and administrative support for the Chief of Programme, department head or area office, monitoring schedules and coordinating meetings
  • Prepare travel documents and follow up on travel arrangements for the division, office or section
  • Draft and prepare official routine correspondence and act as liaison between departments
  • Coordinate logistical preparations for workshops, conferences and events and take meeting minutes
  • Monitor and manage office supply requirements and process payments for vendors and suppliers
  • Assist in managing budgets using the ERP system and monitoring expenditures
  • Verify bills against set terms and conditions and coordinate timely data entry
  • Assist in coordinating HR matters, including new appointments, separations and overtime

Requirements

  • Full secondary education and a two-year diploma in business and office practice or related discipline
  • At least four years of relevant experience, preferably in administration or office management
  • Experience in MS Office applications required
  • Fluency in English required
