Responsibilities

  • Organise logistical and administrative arrangements for off-site and on-site STO activities
  • Advise technical teams and verify scientific publication content lists
  • Compile committee content for communication products
  • Maintain records, contacts, databases and project administration methods
  • Conduct pre-trips and advise host coordinators on meeting arrangements
  • Represent the scientific committee in delegated dealings with CSO staff and NATO authorities
  • Proofread and cross-check decision sheets and agendas
  • Support programme-of-work budgets, travel plans and meeting documents

Requirements

  • Five years of experience as an administrative assistant followed by two years in an administrative position at the same level of responsibility
  • Experience operating computers, word processors and database software
  • Ability to carry out complex administrative tasks independently or with minimum supervision
  • Post high-school specialised education as a multilingual personal assistant or equivalent training
  • Ability to take notes and write meeting reports
  • Very good knowledge of one NATO official language and fair knowledge of the other
  • Eligibility for NATO Secret security clearance
  • Nationality of a NATO member country

  • Project Linked NATO International Civilian position for three years with a six-month probationary period
  • Competition is provisionally scheduled for the first or second week of October 2026 in Paris
  • Normal office environment includes occasional long hours and frequent business travel abroad, including weekends
  • Monthly starting salary is EUR 5,335.54 and is exempt from income tax
